New texting policy in effect
Texting can be an efficient way for us to communicate with our clients and each other. In some cases, it’s the only practical way for us to reach our clients. As with other forms of communication in the health care setting, steps must be taken to maintain privacy and security.
Texting policy
VCH has a new policy which explains how we can reduce privacy and security risks when texting with patients and work colleagues. The policy ensures texting can be done in a safe and responsible way that enables VCH staff and physicians to do their jobs while ensuring clients’ information is protected.
To text safely and responsibly with clients and colleagues:
- Use VCH-issued mobile devices only, if possible. If you must use a personal device, use only the vendor-provided text message service.
- Employ security safeguards on your device, such as passwords.
- Verify the identity of your intended message recipient when texting them for the first time and before sending any personal information via text.
- Treat texts as temporary communications (similar to phone calls) and document any significant texts in the client’s chart.
- Inform clients about common risks and limitations of texting by sending them this link: vch.ca/emailtext.
“The development of this texting policy was truly a regional effort,” says Christina Kirk from the Information Privacy Office, who led the policy development. “Having heard from care providers from across VCH, we believe this policy reflects not only the needs of the health authority, but also the needs of our clients, staff and physicians.”
