New! Staff Email Project: Phase One Begins Next Week
We are pleased to inform you that VCH is embarking on a vital email improvement project in collaboration with PHC and PHSA Human Resources departments and in partnership with IMITS. The email project will occur in two phases, with the entire project expected to be completed by June 2014.
The primary goal of the staff email project is to improve internal communications with staff by providing email addresses and network IDs for staff who do not currently have one. This is a benefit to all staff – as we will soon be able to transition to email as the primary internal communication channel, helping to keep you better informed and more involved in various projects and organizational changes – no more paper pay inserts (which are costly, slow and paper heavy)!
What are some of the benefits?
- Improves employee engagement
- Enables employee self-serve initiatives
- Generates distribution lists from the myID database
- Reduces risk around compliance (policies, etc.)
- Enables future automated provisioning of email addresses for new employees (for now you still have to submit a form to request network access/email)
Action Required for Phase 1
Phase one of this project includes conducting an employee email validation process to help us identify who has an email address and who does not, so we can provide email addresses to those who do not currently have one.
The process is simple! Sometime next week (between Feb 11 – 14th), you may receive a desktop alert, after logging into the network, asking you to open a web link where you will validate your details. The desktop alerts will not occur at the same time for all computers.
You will asked three quick questions:
- Employee ID (available on your pay stub and employee badge)
- Month and day of birth
- Legal first and last name
The information you provide is completely secure, and will only be used for this validation/authentication process. Watch for an all staff email that will be sent this week.
What’s next?
Phase two of this project includes providing email addresses and network IDs for VCH staff who do not currently have one. This will lay the foundation for improved internal communication and other self-serve initiatives – stay tuned!
