New dictation/transcription system going live at select VCH sites on May 8th

The new M*Modal dictation and transcription system will GO-LIVE on May 8, 2013 at the following VCH sites:

  • Vancouver General Hospital
  • UBC Hospital
  • Richmond Hospital
  • GF Strong
  • George Pearson Centre
  • Community Mental Health (Vancouver & Richmond)

This is the first phase of a multi-phased project to replace multiple aged legacy systems throughout the lower mainland with a single, speech recognition-based solution to improve transcription service delivery and yield significant savings that can be redirected to patient care.  We expect the new system to be fully deployed across the Lower Mainland by the summer of 2014.

“We are intensely focused on developing a clinical documentation model that provides the highest quality care with best-in-class efficiency and turnaround times,” said Yoel Robens-Paradise, Executive Director, Integrated Health Information Management at Providence Health Care.  “The project will improve the quality of documentation and productivity for approximately 10,000 dictating authors (physicians, allied health, midwives, nurses & nurse practitioners).  The additional use of Excelleris for report distribution will enable more reports to be sent electronically, feeding patient electronic medical records and supporting the goals of interoperability between regional clinical systems and reduced paper use in the health care system.”

In the future, the new system will also be able to support electronic signature should the dictating author elect to utilize this function (pending approval by the VCH Health Authority Medical Advisory Committee).

Here are some key changes to be aware of for staff who will be dictating onto the new system:

  1. Contact the M*Modal system using the “1-800” dictation access number. 1-855-666-3240
  2. When prompted enter your unique Dictation ID (ie: your MSP billing #).  Passwords are no longer required.
  3. Dictate your report utilizing where appropriate the new standard worktypes, dictation prompts and new facility codes.
  4. Ability to add your full professional credentials to each report if you so choose.
  5. All medical trainees will require a dictation ID (except 2nd-year MSIs) in order to support speech recognition functionality.
